Who is eligible?

We can provide assistance for those who need a visa to come to Japan to speak at the 43rd Annual Meeting of the Japan Neuroscience Society (Neuroscience2020).
Management Secretariat can help Symposium speakers and Oral/Poster presenters (including Travel Award recipients) only.
Please read below to request the visa documents.

 

Not speaking at Neuroscience2020?

Our visa support is only for speakers. If you are not presenting at the meeting, you are responsible for making the necessary travel arrangements by yourself.
For general information on visas, please visit here.

We can, however, issue a letter that acknowledges your intention to attend Neuroscience2020 as long as we can confirm your registration and payment. Log into the registration system and download the letter of invitation.

 

Overview of visa application process

STEP 1: Submit your application

Click “Visa Application Form” button below to open the application form. Fill all required fields and submit. Please scan and upload your passport (the page which your photo and number are included.)

 

STEP 2: We will prepare the documents for your visa application within 10 days.

What we will prepare:

  • Acceptance Letter
  • Letter of Invitation
  • Letter of Guarantee
  • Your schedule in Japan
  • The annual meeting flyer and other relevant documents

IMPORTANT

We can support your stay in Japan before and after the meeting (July 29-August 1) as well as during the meeting. However, we can support maximum six days excluding meeting days.
If you are staying longer than above, you are responsible for making the necessary arrangements for those extra days yourself.

 

STEP 3: Shipping

We will send you the documents for your visa application by mail.
Please note that it generally takes 4-5 business days for your package to be delivered to you. A tracking number will be provided to you for your reference once the package is shipped.

We will send your package to the mailing address on your application form. Please make sure that you provide the accurate and complete address as well as the phone number. Incorrect or insufficient information may result in the delay or the return of your package.

 

STEP 4: Apply for a visa

Submit the visa documents to the Japanese Embassy / Consulate General in your country.
The visa examination process may take more than a month. Upon receiving the package, please submit all necessary documents to and apply for a visa at the Japanese Embassy / Consulate General in your own country (region) or country (region) of residence at your earliest convenience.

IMPORTANT

Applying for a visa does not guarantee that your visa will be issued. We are not liable for the rejection of your application. If you are not able to attend the meeting due to delay or failure to obtain a visa, your registration fee will not be refunded.
